A small business chatbot advertised at $20 to $150 a month can land anywhere from $40 to $300 once per-resolution fees, currency conversion, and EU VAT rules touch a USD-priced invoice. The sticker price on a vendor's homepage describes one billing model, not necessarily the one you end up paying under. Here's what actually determines the number, with a worked monthly example instead of another pricing-page comparison.
A Custom GPT from the GPT Store can't be embedded on your website, OpenAI never built that path. Here's why the iframe workarounds fail, what a real chatbot widget does differently, and how to move your GPT's content into one that actually loads on your site.
Most chatbot cost guides are written for a US buyer paying a US bank in US dollars. A German, Austrian, or Swiss small business runs into a second layer of cost those guides never mention, and it can matter more than which vendor gets picked.
Nearly every AI chatbot on the market prices itself one of three ways, and the model matters more than the number next to the dollar sign.
The gap between the advertised price and the invoice usually comes from four places, none of which show up on the comparison page that got you to sign up.
None of these show up in the number a sales page leads with, which is a large part of why real-world estimates put total chatbot spend 30 to 80 percent above the advertised plan price once a business is actually running one day to day.
For a VAT-registered business in Germany, Austria, or Switzerland buying a subscription from a US company, the invoice usually doesn't include VAT at all, provided you give the vendor a valid VAT ID (Umsatzsteuer-Identifikationsnummer). The reverse-charge mechanism shifts the reporting to you instead: you declare the VAT on your own return, and if you're entitled to deduct input tax, you claim the same amount back in the same filing. For a fully VAT-registered company, that's an extra line in the bookkeeping, not extra money out the door.
The exception is a business trading as a Kleinunternehmer under Section 19 UStG. That status exempts your own sales from VAT, but it doesn't exempt the services you buy from abroad. You still owe the reverse-charged VAT on the subscription, and because you're not registered to deduct input tax, you don't get it back. On a $150-a-month plan, that's roughly €24 to €28 a month at Germany's 19 percent rate: real cost, not paperwork. This is general information, not tax advice, so check your specific situation with a Steuerberater before assuming either way.
Currency adds a second cost regardless of VAT status. Nearly every chatbot platform prices in USD. Paying by card usually adds a foreign transaction fee of 1 to 3 percent on top of whatever the exchange rate did since you last checked the pricing page. It's a small line item on its own, but it means the number on the website is never quite the number on the statement.
Take a two-person SHK or electrical company whose website chatbot handles 40 conversations in a slow month and 150 in a busy one, after a referral push or a seasonal jump in emergency calls. Here's what each billing model actually charges at both volumes.
The per-resolution model punishes success. The credit-metered model looks cheapest right up until it doesn't. The flat model is the only one of the three where a good month for the business doesn't also mean a bigger invoice.
For a small business chatbot answering from a website's own content, without backend system integrations, budget $40 to $150 a month for a capped, flat-fee plan at realistic small-business volume: a few dozen to a couple hundred conversations a month. Add $20 to $50 more if a second channel like WhatsApp is genuinely needed. Per-resolution and credit-metered tools can start cheaper, but the real question is what happens to that number if next month is twice as busy as this one, since that's precisely the month a chatbot is supposed to help with, not cost more for.
Before signing up for any chatbot, ask the vendor for three numbers in writing: the monthly base fee, the exact cost per unit once you're past it, and whether there's a hard ceiling. If a sales team can't answer the third question in one sentence, run your last three months of real website traffic against their calculator before committing to anything.
A German site, an English question, and the chatbot answers in German anyway, or it garbles a technical term in translation. Here's why AI chatbots reply in the wrong language, what it costs DACH businesses with mixed-language visitors, and the multilingual RAG setup that fixes it.
